Privacy Policy
Effective and last updated: 18 October 2026
In brief: Society Matrix uses your sign-in identity and the records needed to operate your housing association. Information is shared only with authorised people in your association and service providers that run the platform. We do not sell personal information or use it for advertising.
1. Who operates the service
Society Matrix (Android package com.digitocity.societymatrix) is the mobile app for the Rentify Society service. It is provided by Digitocity, Kishore Geddam, India. In this policy, “we”, “us” and “the service” refer to Digitocity and Society Matrix/Rentify Society.
Questions and privacy requests can be sent to geddam.naidu@gmail.com.
2. Information we process
- Account and authentication: name, mobile number or email address, Firebase user identifier, sign-in method and authentication tokens.
- Association membership: association, home or site, owner/resident/tenant relationship, role, permissions, occupancy, vehicle and parking details.
- Community operations: maintenance charges, payment and receipt records, expenses, approvals, notices, meetings, votes, amenities, visitors, deliveries, support requests, utilities, staff, vendors and audit history.
- Content you choose to provide: profile or association images, photographs, identity/address proofs, invoices, contracts, receipts and other documents.
- Technical information: app version, device/platform details, request timestamps, security logs and diagnostic information needed to prevent abuse and keep the service reliable.
The Android app currently requests internet access. Photos and documents are accessed only when you choose to capture or select them for upload.
3. How we use information
- authenticate you and show the associations, homes and roles you are authorised to access;
- provide billing, accounting, resident, governance, gate, support and facility workflows;
- store evidence, produce receipts and reports, and maintain accountable audit histories;
- secure the service, investigate errors, prevent fraud or misuse, and meet legal obligations;
- respond to support, privacy and account-deletion requests.
4. Who can see information
Access is controlled by association and role. For example, residents normally see their own home and community information, while authorised committee, accounting, security or operational roles see the records required for their work. An association’s authorised administrators manage its members and permissions.
We use service providers including Google Firebase for authentication and Google Cloud/Firebase infrastructure for hosting and data processing. Google Sign-In shares the identity information you approve. These providers process data under their own privacy and security terms. We may also disclose information when required by law or to protect users and the service.
We do not sell personal information, rent member lists or use association records for targeted advertising.
5. Storage, security and international processing
Information is transmitted over encrypted HTTPS connections. We use authentication, association scoping, role-based permissions and audit records to restrict access. No online service can guarantee absolute security; please protect your sign-in method and report suspected misuse promptly.
Our providers may process information in India and other countries where they operate, subject to their safeguards and applicable law.
6. Retention
Account and association records are kept while needed to provide the service. Association financial, receipt, governance, approval and audit records may be retained after a person leaves or closes an account where the association needs them for legitimate administration, dispute resolution, security, accounting or legal compliance. We remove or de-identify personal information when it is no longer reasonably required.
Account deletion is explained on the Society Matrix account-deletion page.
7. Your choices and rights
- review your account identity and current association/role inside the app;
- ask an authorised association administrator to correct association, home or membership records;
- request access, correction or deletion by contacting us;
- revoke Google account access through your Google Account settings;
- request account deletion in the app under Account, or through our web process.
Some requests may require identity verification. Rights and exceptions vary by location, and we will respond under applicable law.
8. Children
The service is intended for housing-association administration and is not directed to children under 13. Association administrators should not create an independent child account unless permitted by law and appropriately authorised. Contact us if you believe a child’s information was provided improperly.
9. Changes
We may update this policy when the service or legal requirements change. The date at the top identifies the current version. Material changes will be communicated through an appropriate service channel.
